Webador privacy statement

Webador's online service includes the processing of personal and privacy-sensitive data. Webador attaches great importance to the proper handling of personal data and thus processes and secures such data with due care and attention.

Your account

Registration is required to use our online service. Upon registering, you will be asked to provide an email address and a name for your website. We use this information to create an account you can access using your email address and a password of your choosing. Your password will be stored securely using a bcrypt encryption method.

We will store your email address and IP address for your account so that you can log into our portal securely. We will keep this information for a period of three months after you close your account.

We will also save your email address so that we can contact you if necessary. You can opt in or out of receiving emails from us via your account.

Portal access

Our portal provides access to an administration environment where you can set, specify, and amend things for the benefit of any websites you create using our service. We will maintain a record of which actions you take and when, as well as any information you post on your website(s). This information is also linked to your IP address. Storing your IP address each time you access our portal helps us prevent unauthorized login attempts. We will keep this information for a period of one year after your account is closed.

Please note that our employees have access to the administration environment of your websites, including any password protected elements, for customer service reasons and to facilitate early detection of errors and malfunctions. Our employees are regularly reminded of their duty to protect personal data and maintain confidentiality.

Statistics and profiling

Webador records statistics pertaining to the use of our online service. We use these statistics to improve our service so that, for example, only relevant information is shown. We use your IP address and cookie information for this. Webador makes decisions based on automated processing through computer programs or systems without involving natural persons (e.g. Webador employees). We use this system, among other measures, to ensure Webador's accessibility and ability to coordinate communication with you personally. Webador uses the following external computer programs or systems: Google AdWords remarketing and Facebook Pixel to display advertisements based on your browsing behavior. We also make automated decisions in the event an invoice is not paid on time, in which case we send reminders, block any services purchased, and eventually engage a collections agency.

Purchasing a subscription

You can purchase a paid subscription with Webador, and we will collect your personal data to facilitate billing and payment.

This data allows us to prepare invoices and process direct debits.

If you use a domain name, we will also ask for your telephone number. Our domain name registration partner Openprovider requires this information. We will save any information collected for the purposes of a subscription for a minimum of seven years (the legally required term) and a maximum of one year thereafter.

If you make use of our webshop feature, we will ask for your VAT number to display on invoices generated by us. Please note that, on some legal forms, your VAT number can trace back to your personal social security/national insurance number.

Contact Form and Newsletter

You can send any questions or requests you have via the contact form on our website.

We will collect your email address and IP address and provide this information to Freshdesk, our helpdesk software provider. We keep this information until we're sure you are satisfied with our response, and twelve months thereafter. This means we can easily retrieve your information should any follow-up questions arise. It also helps us improve our overall customer service.

You have the option of subscribing to our newsletter, which contains news, tips, and information regarding our products and services. Your email address will be automatically added to a list of subscribers, and this data will be stored until you close your Webador account. Every newsletter we send contains an unsubscribe link, and you are free to unsubscribe at any time. You can also unsubscribe via your Webador account.

Special and/or sensitive personal data that we process

Our website and/or service does not intend to collect data from website visitors under the age of 16, unless those visitors have permission from a parent or guardian. However, as we have no way of verifying a visitor's age, we encourage parents to take an active interest in their children's online activities to prevent the unauthorized collection of a minor's personal data. If you believe we have collected a minor's personal data without permission, please reach out to us via our contact form and we will delete the relevant information.

Newsletter and other emails

We would like to send you emails regarding our (paid) services and special offers. Every email contains an unsubscribe link, and you are free to unsubscribe at any time. You can also unsubscribe via your account. We also send monthly update emails containing information about your website(s), as well as emails containing tips and ideas for your website(s). You can unsubscribe from these emails at any time via the unsubscribe link in the email or via your account. We do our best to ensure you only receive emails that are personally relevant to you. Our aim is to assist you in building a great website using our service.

We also send emails you cannot unsubscribe from, so-called 'transactional emails'. Your continued use of our service depends on these emails. For example, we will email you if you indicate you have forgotten your password, or to confirm receipt of a payment you made. If you delete your account, you will no longer receive any emails except those necessary to close out the agreement (e.g. payment reminders).

Sharing data with other companies and institutions

We share your personal data with other companies and institutions only when this is necessary for us to provide our service or if we are legally obliged to do so (e.g. if the police request said data in the event of suspected criminal activity).

We work with a number of partners who we may also share your personal data with, when this is necessary for us to provide the services for which you have signed up. A list of companies with whom we collaborate, and which may process your data, can be found at the bottom of this page.

Cookies

Our online service uses functional, analytical, and tracking cookies. Cookies are small files in which we store information so that you don't have to re-enter it every time you access our service. Please note that our use of cookies also means we are aware of every time you visit our website.

We have agreements in place with other companies who place cookies. As Webador cannot control what those companies do with these cookies, we recommend reading their privacy statements.

You can disable cookie placement in your browser settings. However, this means you will no longer be able to log into our system. You can also delete all cookies placed by us or our partners via your browser settings. After logging in, our system will function correctly again.

Google Analytics

We use Google Analytics to track how visitors use our online service. We have entered into a processing agreement with Google that contains strict stipulations as to which data they can store. We allow Google to use the information obtained from Analytics for other Google services. This data is automatically deleted after 26 months.

Google Sign-in

You can register and log in using your Google account. If you use this option, Webador will have access to some of your profile information (e.g. ID, name, and email address). Webador uses this data to verify your identity and fill out your Webador profile. Your information will not be shared with third parties, and you can revoke your permission for us to view this information at any time via your Google account settings.

Security

Personal data security is very important to us. We strive to maintain the security of your personal data, making adjustments where necessary and paying close attention to any risks. For example, our application uses a secure connection via Secure Socket Layer (SSL) technology, indicated by the padlock symbol in your browser's address bar. We store backups at an external location. Our employees are explicitly instructed to maintain proper security on their electronic devices and to use secure login methods. We also carry out penetration tests to detect any vulnerabilities.

Changes to this privacy statement

In the event of any changes to our online service or to any relevant legislation, we must also adjust our privacy statement. We recommend making a note of the date at the top of the page and checking back regularly for updates. We will always endeavor to announce any important changes separately.
